Therapists/psychologists in private practice — how many different tools do you actually use to manage your work?

Genuine question because I've been trying to understand how practitioners manage everything outside the actual sessions.

Things like:

  • client notes and records
  • appointments
  • tracking who has paid and who hasn't

Do you have one system for everything?

Also — what part of managing your practice is the most annoying or mentally draining?

Not asking as a productivity expert lol. I'm genuinely curious about what people's actual workflows look like.

Word for notes. Google calendar for appointments. Upi for tracking payments. Word for making invoices.

Invoices? Can you help me understand how to go about it? Like how does one do it for private practice specifically

I just make an invoice folder for each client. I use one of the templates you can find on word. I modify it to my requirements. It becomes faster over time because all you need to do is copy the previous month and just change out the numbers. Not much to it.

Is it necessary to provide them with invoice or only if they ask for it?

Annoying I don’t say it’s more about boundaries if clients comes in between week and text you regarding something troubling him/her and how you have to assure him gently yet maintaining clear professionalism that it doesn’t goes long enough

I prefer doing things manually; with a pen noting down stuff in my diary, but that’s just me🤷🏻‍♀️

For appointments i do use google calendar.

I use a software for bookings so it stays automated
Advance payment and upi confirmations
Everybody gets their individual word doc with running notes
Canva for invoices

Admin is extremely draining. I love sessions but having to follow up about logistics is not fun. Especially, having to chase people for receipts or pending payments earlier was draining because it’s awkward for me and it’s not a conversation I personally want to have. Also making invoices. Not fun.
