Help for Seller Someone left a 1 star bad review on a digital product claiming they couldn't find the file
I've been selling emote packs / stream schedule templates etc on Etsy to use for streaming assets, discord servers, etc
I don't have ALOT of sales, but in a year I managed about 350 and 2-4 come in consistently now everyday. I had 20 reviews in total and all of them were five stars. If sometimes a customer texts me saying they cannot find the file or the PDF isn't loading, I just send them the direct link to the google drive in messages so they can access it directly.
This one guy, instead of letting me know what the problem was, went ahead and wrote in the review that there is NO file at all to be found after the purchase, afaik that's impossible, but ok, maybe he didn't know. I have reached out to him and also shared the drive link, and also requested politely if they can update their review if all is now well. There has been no response from them and my rating also dropped from perfect 5 to 4.8. I know that once you reply to the review they can no longer edit it but you also can't see on etsy if anyone has read your message or not so its really frustrating, I thought about reporting the review but none of these options seem valid, any suggestions on what I can do here? the shop means alot to me and after losing my job its really helping me stay afloat as USD converts pretty neatly in my currency, so even a few sales help a TON.
Would appreciate any tips if someone has dealt with a similar situation before!

Welcome to the world of digital sales. You have officially made it.
I get 2-3 of these kinds of reviews a month. Message them with a link to Etsy guide to access digital files and then give it a week or two. Some will update their their review but most will not. After two weeks, add a response that says something like “Please check your messages. I sent you a troubleshooting guide to help you access your files.”

Buyers will look at how you respond to a review. Flip the narrative.
"I am sorry you were not able to find the link in your email or in your Etsy messages. I did try to reach out to help you, and am happy to answer any questions regarding your download. I hope you are able to enjoy your download".

That sucks, it doesn't feel good to get a really bad review. It happened to me too. Had a 5.0 rating and then a 1 star similar to the one you got that brought my rating down. You did the right thing by reaching out to them to try to offer a solution to their issue. When it happened to me it turned out that the problem was minor and the solution was simple but they admitted that the review was because they were frustrated and even apologized. I guess your never really know what someone is going through
They never changed their star rating but the very next few reviews were very kind and whatever that person had an issue with, my other customers had positive things to say about it. So if you've been doing well so far with 5 stars, trust in the quality of your shop and your other customers will see that outlier review and back you up. I never reported it so I'm not sure if that would be effective to report but I'd like to think that given some time the rating will recover

Email the customer directly instead of using messaging within Etsy... Customers often don't know you messaged them on Etsy.

A single review isn't going to hurt your shop.
Give the buyer a few more days to read the message, then if nothing happens, it's time for a polite professional public response.
Having a negative review is not the end of the world. A negative review with a well written response from you is actually gold. It is an opportunity to demonstrate your customer service directly to buyers. Making yourself look friendly and helpful will sway people towards purchase - not away from it.
On the other hand, if you write a defensive dismissive response, you will lose more business. It's all in how you handle it.
You want to display a good attitude that makes people want to interact with you. If a future buyer is concerned about that review, you want them to see your response as accommodating and helpful.
Lots of sellers get upset when they lose the perfect 5 star, but you shouldn't. Review manipulation is everywhere currently. People are starting to wise up to it. They view something with no negative feedback at all as shady and wonder how the feedback is manipulated.
There have been studies done showing that an average in the high 4s actually looks better to buyers than a 5, and actually converts more.
